Privacy Policy
Last updated: August 2026. This is a plain-language description of how we handle your data, not a substitute for legal advice.
What we collect, and why
If you join the beta list from this site, we store the email address you give us and the date you consented, so we can contact you about the beta. When you use the StageWarden app, we store the account, band, song, setlist, chart, and performance data you create, because the app can't function without it. If you turn on push notifications, we store a device token so we can deliver gig reminders. If something breaks, we collect crash reports and error diagnostics to fix it.
Legal bases for processing (GDPR)
Contract — account, band, song, setlist, and performance data is processed because it's necessary to provide the service you signed up for. Legitimate interest — crash/error diagnostics and security logging are processed to keep the app working and secure, balanced against your rights; we don't use this data for advertising or profiling. Consent — push notification device tokens are only collected once you opt in via your browser's permission prompt, and you can withdraw that consent at any time by turning notifications off.
Who processes your data
We don't sell your data. We use the following processors to run the product:
- Clerk
- authentication and account identity — sign-in, session management, account profile data.
- Neon
- hosts our PostgreSQL database — the primary store for your account, band, song, setlist, and performance data.
- Ably
- real-time messaging that powers live features such as Stage Mode's "Follow the screen" and presence.
- Resend
- sends transactional email — band invites, verification, and account notifications. We do not send marketing email through it.
- Browser push services (Google FCM, Apple Push Notification service, Mozilla)
- if you opt in to push notifications, your device token and notification payload are routed through your browser vendor's push service to deliver gig reminders.
- Vercel
- hosts the web app and this marketing site.
- Fly.io
- hosts our backend API.
- Cloudflare R2
- stores uploaded files — chart PDFs and images — and the downloadable Android APK.
- Sentry
- captures crash reports and error diagnostics so we can find and fix bugs. We configure it not to record your IP address or other default personal identifiers.
International data transfers
Every processor listed above is a US company or operates US infrastructure, so personal data of EU/UK users is transferred to the United States. We are in the process of putting Standard Contractual Clauses (SCCs) in place with each processor as the transfer safeguard; this work is not yet complete for every processor. Email us at hello@stagewarden.com for the current status of the safeguard in place for a specific processor.
How long we keep it
We keep account, band, and song data for as long as your account is active. Beta signup emails are kept until you ask us to remove them or the beta program ends, whichever comes first. Crash and error diagnostics follow our error-monitoring provider's default retention window — we don't extend it. Deleting your account permanently deletes the data you solely own. Songs and setlists you created inside a band that still has other permanent members are not deleted — ownership transfers to another permanent member of that band so the band's shared material survives, the same way it would if you left the band without deleting your account.
Your rights
You can access your data and delete your account at any time. In the app, account deletion is available under Settings (open the avatar menu in the top bar, then Settings) — it is permanent and immediate. To access, correct, or request a copy of your data, or for any other request, email hello@stagewarden.com and we'll action the request promptly.
California privacy rights (CCPA/CPRA)
We do not sell or share personal information, as those terms are defined under the CCPA/CPRA. California residents have the same access, correction, and deletion rights described above.
